Early access for Australian bookkeepers and BAS agents
Portalsweep fetches the bills behind supplier logins.
Each month it works through your clients’ telco, energy, toll, water and fuel card portals in your own browser. It downloads every bill, names it and sends it to that client’s Hubdoc, Dext or Xero inbox, then shows you what’s still missing.

Count your portal rounds.
Plenty of suppliers email their bills. The awkward ones leave the PDF in a portal, so someone signs in, finds the month, downloads it, renames it and forwards it. Then does the next supplier, and the next client.

Two setup steps and a monthly Run
Portalsweep is a browser extension and a web dashboard. The extension does the fetching in your browser. The dashboard is where you set up clients and see what has arrived.
Enter the business and its bookkeeping inbox address. An unfamiliar address has to confirm a link before bills go to it.
banksia-physio@inbox.exampleConfirmedEvery bill for this client is emailed here.
Sign in yourself, go to the bills page and download one bill. Portalsweep writes the steps down for you to read before you accept them.
- Open

Portalsweep works through each client’s suppliers in its own window. When a site asks for a password or a code, it waits for you to type it in.

One email per bill, named so nobody has to open it.
Each bill arrives as its own email with the PDF attached, from bills@portalsweep.keenshift.ai. Run the same month twice and the second run skips every invoice already sent.
- Found in the portal
- Checked
- Named
- Sent to the client’s inbox
Every file is named supplier, month, then invoice number, for example SoutherlyPower_2026-08_SP-88213.pdf.
Same pattern for every client, so a search for SP-88213 finds the file a year from now.

Where your clients’ data goes.
Stored in Sydney, apart from two things: a masked record goes to AI providers in the US and China when you teach a supplier or a page changes, and Stripe handles card payments. The security page has the full table and the rules every run follows.
| What | Where it’s kept | For how long |
|---|---|---|
| Your account and client details | AWS, Sydney | Until you delete them or close your account |
| Bill details: supplier, invoice number, date, amount | AWS, Sydney | While your account is open (the board and the duplicate check use them) |
| Bill PDFs | AWS, Sydney | Bill PDFs are deleted from our servers as soon as they’re forwarded. One that can’t be forwarded is deleted automatically within two days. |
| A masked record of how you taught a supplier, or of a changed step | AI providers in the US and China | Masked first. Never bill PDFs |
| Card details | Stripe | We never see card numbers |
| Supplier passwords and security codes | Nowhere | Never collected |
What the AI gets
When you teach a supplier, AI providers in the US and China get a record like this example, masked in your browser before it leaves.
address my.southerlypower.example/accounts/[hidden]/billsheading “Bills and statements”table: Date, Invoice, Amount · contents removedyou clicked “Download PDF”Password fields stay unread
Portalsweep spots password and security-code fields by their type and label, and leaves what’s in them alone.
Offer and settings pages it can’t leave go to you
When a portal opens one and offers no plain “No thanks” link, the run hands you the page like this.
PDFs deleted once forwarded
- Fetched in your browser
- Forwarded to the client’s inbox
- Deleted from our servers
Before you rely on it
That everything stays in Australia. Your data is stored in Sydney, but the masked records sent to AI providers are processed overseas.
A security certification. Portalsweep has no ISO 27001 or SOC 2 audit yet.
Final legal terms. Our privacy policy and terms are drafts until our legal review is finished.
Show it any portal you can sign in to.
The steps you record stay with your practice. A supplier is marked verified after its steps have fetched exactly the right bills on several real accounts, month after month.
Verified suppliers

- Fetched every bill due for the month, and only those
- Every file a real PDF with a unique invoice number
- Left the account exactly as it found it

- What happens at the limitAdding a client past your plan’s limit asks you to move up a plan or remove a client first.
- A monthly AI allowanceTeaching a supplier and finding a moved button use AI, from an allowance each plan gets every month. If a practice uses it up, new teaching waits for the next month and a run asks you to show it any moved button.
Early access opens a few practices at a time
A small group at a time means we can set up suppliers alongside you, and look at any portal that trips it up while you still remember what happened.

What happens when a portal sends a code to my client’s phone?
Invite the client. They install the extension, sign in with their own email address and see only their own business. When they run it, they handle their own sign-in and code, and the bills still go to the inbox you set up.
What if a supplier changes its website?
For every link and button it uses, Portalsweep remembers several ways of finding it again. If one stops working, it tries the others. If it’s still unsure, it asks an AI model to pick from a short list of likely candidates. The model gets the step’s description and the labels of the old button and the candidates, with the heading and page section of each, and Portalsweep checks its answer against its own scoring.
If the two disagree, it asks you to show it the step. It tries that fix first on the next run, and keeps it for good once later runs confirm it.
Which suppliers does it work with?
Any portal you can sign in to and show it, apart from a few such as portals drawn entirely as images. The verified list starts empty and grows as suppliers pass their checks against real accounts.
Does it work on a phone or tablet?
The board does, on any screen. The fetching needs the extension, which runs in a browser on a computer.
What counts as a client business?
Each business whose bills you collect: one name, one forward-to inbox. A client with two companies is two businesses.
How do I pay, and can I cancel?
By card through Stripe, which holds your card details. You can change plans or cancel at any time from the billing page, and your plan runs to the end of the period you’ve paid for.
